Privacy Policy
Effective October 19, 2026
The short version
- We collect what we need to run AuthorCommandHQ for you: your sign-in details, your books, and the sales and ad reports you choose to connect.
- Your store passwords never reach us. The Chrome Helper reads reports in your own browser, while you’re signed in, and skips bank and tax details.
- We never sell your information, and we don’t use it for advertising.
- Card payments are handled by Stripe. We never see or store your full card number.
- Quill, our AI assistant, sends what you type to OpenAI to answer, and we keep conversations for 90 days.
- You can ask for a copy of your data, or for it to be deleted, at any time: hello@authorcommandhq.com.
1. Who we are
AuthorCommandHQ is a service of CVEP, LLC (“we”, “us”). This policy covers our website at www.authorcommandhq.com, the AuthorCommandHQ app, and the AuthorCommandHQ Helper for Chrome (together, the “Service”). Questions: hello@authorcommandhq.com.
2. Information we collect
You give us
- Account details: your name and email address from your Microsoft (or GitHub) sign-in, your author or pen name, and the plan you choose.
- Your catalog and files: book titles, series, ISBNs, ASINs, descriptions, covers, your author photo and any files you add to your library.
- Team members: email addresses of people you invite.
- Messages: anything you send us by email.
From services you connect
- Sales reports from Amazon KDP, ACX, Draft2Digital, IngramSpark and similar stores, captured by the Chrome Helper when you sync. These include royalties, units, orders, Kindle Unlimited pages and marketplaces.
- Advertising and audience results from Facebook and Instagram (Meta), Unbounce and other platforms you connect. These include spend, reach, clicks, leads and follower counts.
- Keys you paste in (for example an Unbounce API key). We encrypt them before saving.
Automatically
- Service logs: the date and time of requests, the pages and features used, error reports, your IP address and browser type. We use them to keep the Service working and secure.
- Cookies and browser storage: a sign-in cookie that keeps you signed in, and small preferences saved in your browser (such as light or dark mode). We don’t use advertising or tracking cookies.
Payments
Stripe processes subscription payments. Stripe receives your card details directly. We receive only what we need to manage your plan: a customer ID, your plan, the payment status and the last four digits and brand of your card.
3. The AuthorCommandHQ Helper for Chrome
- The Helper only reads the report pages it opens for you (for example your KDP Reports dashboard) in your own browser, using the sign-in you already have with that store. We never ask for or receive your store passwords.
- Before anything leaves your computer, it removes bank account, tax and payment details from what it captured.
- It sends captured reports only to your AuthorCommandHQ account, using a private connection code linked to that account.
- You can disconnect the Helper in Connections, or remove it from Chrome, at any time.
3a. Quill, our AI assistant
- Quill is the chat bubble on our website and in the app. What you type is sent to our AI provider, OpenAI, to write the answer; under OpenAI’s business (API) terms it isn’t used to train their models.
- Inside the app, Quill also sees a short summary of your setup (for example how many books you’ve added and which stores are connected) so it can suggest the next step. It never sees card details or store passwords.
- We save Quill conversations for 90 days to answer follow-ups and improve Quill’s answers, then delete them. To limit misuse we keep a scrambled (hashed) version of your IP address, not the address itself.
- If you choose Talk to a person, we save the email address you give us and use it only to reply.
- Please don’t type passwords, card numbers or other secrets into Quill.
4. How we use information
- To provide the Service: show your royalties, ads and readers, match ads to books, fill in book details and prepare your morning brief and suggestions.
- To run your account, plan, free trial and billing, and to send service emails such as receipts and important notices.
- To keep the Service secure, prevent misuse, fix problems and improve features.
- To meet legal, tax and accounting obligations.
AI features. When you use features that write posts or emails, fill in book details or suggest next steps, we send the relevant information (for example a book’s title and description, or ad results) to our AI provider, OpenAI, to produce the result. Under OpenAI’s business (API) terms, this information is not used to train their models. Please review AI-written text before you publish it.
5. How we share information
We don’t sell your personal information, and we don’t share it for cross-context behavioral advertising. We share it only with:
- Service providers who run parts of the Service for us under contract: Microsoft Azure (hosting, database, file storage, sign-in and logs), Stripe (payments), OpenAI (AI features, including Quill) and Microsoft 365 (email).
- Services you connect or ask us to look up, such as Meta, Unbounce, Amazon and book lookup services (for example Open Library, Google Books and Apple Books), which receive the requests needed to fetch your data or a book’s public details.
- People on your team whom you invite to your account.
- Legal and safety reasons: if required by law, or to protect the rights, safety and security of our users, the public or us.
- A business transfer: if CVEP, LLC is involved in a merger, sale or similar event, under this policy’s protections.
The website loads its fonts from Google Fonts, so Google receives your IP address and browser information when you visit.
6. How long we keep information
We keep your information while your account exists. If your trial ends or you cancel, we keep your account data so you can pick up where you left off, unless you ask us to delete it. When you ask, we delete your account data within 30 days, except records we must keep for legal, tax or accounting reasons (such as invoices) and copies in secure backups, which are overwritten on a regular schedule.
7. Security
We use encrypted connections (HTTPS), encrypt saved keys, limit who can access data, and keep each author’s account separate from every other account. No system is perfectly secure. If we learn of a breach that affects you, we’ll tell you as the law requires.
8. Your choices and rights
- Access and export: ask for a copy of your information.
- Correction: most details can be changed in the app, or ask us.
- Deletion: ask us to delete your account and data.
- Disconnect: remove a connected service or the Helper at any time in Connections.
- Emails: service emails (like receipts) are part of the Service; we’ll let you opt out of any marketing emails.
Email hello@authorcommandhq.com from the address on your account. We’ll answer within 30 days and may need to confirm your identity. We won’t treat you differently for using these rights.
California residents have the rights to know, delete, correct and limit the use of personal information under the California Consumer Privacy Act. We collect the categories described in section 2 for the purposes in section 4, we share them only as described in section 5, and we do not sell or share personal information as those terms are defined there. Residents of other states and countries may have similar rights; contact us and we’ll honor them where they apply.
9. Children
The Service is for adults. It isn’t meant for anyone under 18, and we don’t knowingly collect information from children under 13. If you believe a child has given us information, contact us and we’ll delete it.
10. Where information is stored
The Service is hosted in the United States. If you use it from another country, your information is transferred to and processed in the United States.
11. Changes to this policy
If we change this policy, we’ll post the new version here with a new effective date. If the change is significant, we’ll also tell you by email or in the app before it takes effect.
